We built our own integrated project management and time tracking system tailored to the way a creative agency actually operates. Before it existed, project financials lived in spreadsheets and emails, timesheets were recorded in a separate tool and then manually imported and reconciled — a process that regularly produced inconsistencies and ate up unnecessary admin time. By bringing everything into one system, we eliminated that friction entirely: time tracking, project budgets and financial oversight all live in the same place and always reflect the same data.
Project and budget management:
Each project has its own space where managers can define task types, set hour budgets and assign ownership — with clear visual indicators when a project is approaching or exceeding its limit. Projects can be organised hierarchically with parent/child relationships, archived when complete, and viewed in list or Kanban format.


Financial overview:
All financial data, cost items and invoices related to a project are managed in one place. The system calculates margin, tracks actual cost against the quoted client price, and flags when spend has exceeded revenue. Date milestones (kickoff, offer submission, billing, payment receipt) are tracked on each project, giving an up-to-date picture of where every project stands at any given moment.
Profitability and efficiency reporting:
The same financial data feeds into cross-project analysis — broken down by project type, client, team member or time period — so the team can see which projects and project types are performing well and where there is room to improve.

Time tracking:
Team members can start, pause, switch between and close tracked sessions in real time directly from the system, or log hours manually after the fact via a weekly timesheet grid. The system also supports quick-start links (pre-filled with the correct project, task type and note) that managers can generate and share with their team.
Approval workflow:
Logged time entries go through a structured review process. Project managers can review entries filtered by project, team member or division; approve them individually or in bulk; leave comments; or send them back for correction. Team members are notified of any changes and can edit and resubmit rejected entries directly in the system.


User roles and permission levels:
The system has two distinct user levels. Production users see only their own timesheet and the functions they need to log time. Account managers and project owners see a broader view: project financials, all team members' time entries pending approval, and cross-project reporting.
Timesheet reporting:
Exportable reports can be generated for any combination of time period, team member, client and project. Reports include individual time logs, project-level summaries and division-level breakdowns, as well as a visual distribution of hours across task types.
Absence and leave management:
Team members can log vacation, sick leave and public holidays directly in the system. Requests go through the same approval workflow and appear in reporting alongside tracked project time.
Internal communication:
A built-in messaging system lets team members send direct messages to each other without leaving the platform. Notifications for approvals, rejections and comments are delivered in-app with three priority levels.
The system runs entirely on a custom codebase built in-house and is actively used across every project the agency runs.
